The Position:

You love organizing and juggling many activities and have a process for everything to make the day go smoothly. Figuring things out and understanding how things work are part of who you are. Because you’re so organized a twist will not throw off your day and you can flex and appreciate rising to the challenge. We’ve a great opportunity for a full time Coordinator with our Field Services Team.

What You Will Do:

  • Coordinate activities within a project plan (scheduling people, resources, communication etc.)
  • Coordinate and assign team members based on required skill sets for projects
  • Ensure materials and supplies are available for projects, order through Procurement
  • Implement job site safety training requirements and coordinate training with job crews as outlined in the Project Plan; set up and maintain training records in tracking system
  • Maintain MS Office calendar for current/future projects, people assignments, equipment, vehicle/trailer bookings
  • Coordinate arrangements, logistics and documentation for rental equipment and demobilization after project completion
  • Complete and deliver Project status reports
  • Communicate additional project requirements, information to Field Services Superintendents as appropriate
  • Serve as back up for Field Services Manager as appropriate/required
  • Act as liaison, provide support or functional advice as it pertains to HR, Safety, IT, directing team member inquiries, completing documentation, obtaining information or security clearances, safety records reviews, etc.
  • Collaborate and coordinate training, EHS, other supports as necessary
  • Ensure work scope is fully completed and manage change orders with clients and field teams
  • Interact with clients
  • Manage or support team member time management (project time sheets, etc.)
  • Maintain project documentation, invoicing
  • As required, attend job sites, deliver equipment, information to the field, support project start up/wind down activities at job site
  • General project and team administration
  • Provide general office coordination and administration; support team members with general inquiries, office processes

 What You Bring:

  • Post-secondary education, certificate or diploma in Administration, Project Coordination, or demonstrated experience in administration
  • Organizational skills
  • Excellent interpersonal and communication skills; easily partners with colleagues at all levels and can collaborate across North America
  • Ability to problem solve and resolve complex issues using diplomacy and creativity
  • Strong MS Office skills, ability to use/learn software quickly and technology in general
  • Customer service and sales skills, brand ambassador
  • Basic knowledge of project, contract, and risk management principles
  • Demonstrated continuous improvement and innovation in daily work; willingness to productively challenge existing approaches
  • Ability to manage secure, confidential data
